Refund Policy

This Refund Policy describes when and how refunds are handled for ReflexWare, operated by ReflexWare. It supplements our Terms of Service.

1. Subscription fees

Subscription fees are billed in advance for the billing period you select (monthly or annual) and are generally non-refundable, except where required by applicable law or expressly stated below. When you cancel, your subscription remains active through the end of the current paid period and does not renew.

2. Usage-based and add-on charges

Usage-based charges (for example email sending, AI credits, storage and messaging) and per-module add-ons are billed based on what you consume or enable. Because these reflect resources already delivered, they are non-refundable once incurred.

3. Free trials and free tier

Where a free trial or free tier is offered, you are not charged for it. If a trial converts to a paid plan, the standard subscription terms and this policy apply from the date of conversion. Cancel before conversion to avoid charges.

4. Upgrades and downgrades

When you upgrade mid-cycle, any proration is handled at the time of the change. When you downgrade, the change generally takes effect at your next billing period; we do not provide partial-period refunds for downgrades unless required by law.

5. Discretionary refunds

We may, at our discretion, issue a refund or credit — for example in the case of a confirmed billing error or a documented service issue on our side. Approved refunds are returned to your original payment method through Stripe and may take several business days to appear.

6. Payments you collect from your customers

If you use the Service to sell to your own customers, refunds for those transactions are between you and your customers and are your responsibility to administer through your Stripe account. This policy covers only the fees ReflexWare charges you for the Service.

7. Chargebacks

If you believe a charge is incorrect, please contact us first so we can resolve it. Initiating a chargeback without contacting us may result in suspension of your account while the dispute is investigated.

8. How to request a refund

To request a refund or ask a billing question, email support@example.com from the address on your account and include your organization name and the charge in question. See also our Terms of Service.

9. Changes to this policy

We may update this Refund Policy from time to time. Changes apply to charges incurred after the change takes effect.
