Manage your profile and 2FA, invite teammates, and set permissions.

This guide covers your personal account, your team, and your organization's settings — your profile, two-factor authentication, inviting people and managing their access, billing, your wallet, and notifications.

You'll find everything here under Settings and Team in the sidebar.

Your profile

Go to Settings → Profile to manage your personal account.

Name

Update your Full name and save. The change applies straight away.

Changing your email (with verification)

You can change the email address on your account from the same Profile page.

  1. Enter your new email address.
  2. Save the change.
  3. We mark your email as unverified and send a verification link to the new address.
  4. Open that email and select the link to confirm.

Until you verify the new address, your email is considered unverified. If the verification email doesn't arrive, check your spam folder — see Troubleshooting.

Password

For security, password changes are handled through the sign-in page rather than your profile. To change your password:

  1. Sign out.
  2. On the sign-in page, choose Forgot password.
  3. Enter your email, then follow the reset link we send you.

Availability

If your work involves bookings or appointments, you can set your availability on the Profile page so others can schedule time with you.

Two-factor authentication (2FA)

Two-factor authentication adds a second step when you sign in, so your account is protected even if someone learns your password.

How it works

When 2FA is on, after you enter your password you'll be asked for a 6-digit code. You can get that code from:

  • An authenticator app (such as Google Authenticator or Authy), or
  • An email we send to your address.

Turning it on

You can set up 2FA during sign-up: enter your password, scan the QR code with your authenticator app, and save the backup codes somewhere safe. You can also skip it during sign-up and enable it later.

Once 2FA is enabled, your Profile page shows a Two-Factor Authentication: Enabled badge under Security.

If you ever lose access to your authenticator app, use a saved backup code, or have your organization owner help you regain access.

Team members

Open Team in the sidebar to see everyone in your organization and manage their access.

Inviting someone

  1. Select Invite Member.
  2. Enter their email address and choose the role you want them to have.
  3. Send the invitation.

They'll receive an email with a link to join. New people can only join with the exact email the invite was sent to. Inviting members requires the invitation: create permission.

Managing members

From the Team page you can:

  • See each member and their role.
  • Update a member's role and permissions (requires the member: update permission).
  • Remove a member from the organization (requires the member: delete permission).

The owner of the organization can't be removed and always has full access.

Roles and permissions

ReflexWare uses roles and fine-grained permissions to control what each person can do.

  • Owner — the person who created the organization. Owners have full access to everything, including billing, integrations, and the affiliate program. Some actions are reserved for the owner only.
  • Other members — get access based on the permissions assigned to their role. You can tailor exactly which areas a member can view and change (for example, leads, inbox, payments, pipelines, calendar, and more).

If a teammate can't see a page or a button, it's almost always because they don't yet have the matching permission. An owner (or a member with permission to manage roles) can grant it from the Team page.

To build reusable roles from presets (Sales rep, Marketing, Finance, Read-only), edit a role's permissions for everyone who holds it, or give one member custom permissions, see Team, Roles & Permissions.

Organization settings

Go to Settings → Organization to manage your workspace as a whole:

  • Business name and identifying details
  • Logos for your brand
  • Custom domain for your sites
  • Currency and other organization-wide preferences

Changing organization settings requires the organization-settings: update permission.

Appearance and theme

Light/dark mode and your organization's accent color live under Settings → Appearance. See Appearance & Theming for the full guide.

Switching and creating organizations

You can belong to more than one organization. Use the organization switcher in the app to move between the workspaces you're a member of — your data, team, and settings change to match the one you've selected. You can also create a new organization if you need a separate workspace.

Billing

Go to Settings → Billing to manage your subscription and payment methods.

  • All members can view billing information — your subscription status and payment methods (card numbers are masked).
  • Modifying billing — adding or removing a card, cancelling, or reactivating a subscription — requires billing permissions and is typically reserved for the owner.

From here you can:

  • See your current plan and subscription status.
  • Add or remove payment methods.
  • Cancel your subscription (you keep access until the end of your billing period) or reactivate a cancelled one.

Wallet

Go to Settings → Wallet to see your account balance and history. The wallet is used for usage-based charges.

  • View your balance and transaction history.
  • Top up your balance.
  • Optionally enable auto top-up, which adds funds automatically when your balance runs low, so services keep working without interruption.

Notifications and push

ReflexWare keeps you informed about new leads, messages, payments, and other important events.

In-app notifications

Select the bell icon in the top bar to open your notifications. From there you can:

  • See your latest notifications and your unread count.
  • Open a notification to jump to the related item.
  • Mark all as read to clear the unread badge.

Browser push notifications

You can also get push notifications so you're alerted even when ReflexWare isn't open in front of you.

  1. Open the notifications bell.
  2. At the top, choose Turn on when prompted to enable notifications.
  3. Allow notifications when your browser asks.

Push works per device and per browser, so turn it on wherever you want alerts. If you previously blocked notifications, you'll need to re-allow them in your browser settings. See Troubleshooting.
