Appearance & Theming
Choose light/dark mode and an accent color for your organization from Settings → Appearance.
ReflexWare lets your organization choose how the whole app looks — a light or dark interface, and an accent color that shows up in buttons, links, highlights, and other accents throughout the product. This is a per-organization setting, so your brand shows up consistently for everyone on your team (and, if you're an agency, independently for each of your clients — see Agency & White-Label).
Who this is for
Viewing the Appearance page requires the organization-settings: read permission (the organization's owner always has it; an admin or other custom role has it only if it's been explicitly granted). Of the people who can view it, organization admins — the owner, or anyone granted the organization-settings: update permission — can save a choice for the whole organization; everyone else who can view the page can still preview and apply a look, but only on their own device. Where to find it
Go to Settings → Appearance.
Light or dark mode
Under Mode, choose between:
- Light — a light interface.
- Dark — a dark interface.
Your selection applies immediately across the app. ReflexWare does not detect your operating system's light/dark setting — until you or your organization makes a choice, the app starts in Dark mode with the Cobalt accent, regardless of your device's preference.
Accent presets
Under Theme, pick an accent color from the built-in presets:

Select any swatch to apply it instantly — buttons, links, highlights, and other accents throughout the app update right away so you can see exactly what you're choosing before you commit to it.
Custom brand color
If none of the presets match your brand, set your own color:
- Under Custom color, use the color picker (or type a hex code, such as
#2f5bd0) in the Accent field. - Select Use custom to apply it (or just press Enter after typing a hex code).
ReflexWare automatically works out a readable text color to place on top of your chosen color — it checks both black and white text against your color and picks whichever gives better contrast, so your accent color stays legible without any extra guesswork on your part.
Live preview
A Preview panel at the bottom of the page shows a sample card with primary, secondary, and outline buttons, a themed link, and a row of color swatches — all updating instantly as you change the mode or accent, so you can confirm your choice looks right before moving on.
Who can change it, and how the choice is saved
- If you have the organization-settings: update permission (the organization's owner always has it; an admin or other custom role has it only if it's been explicitly granted — see Account & Team → Roles and permissions), your selection is saved for the whole organization. Everyone on your team sees the same theme, and it's what new team members see the first time they open the app.
- If you don't have that permission, you can still try out and apply any mode or accent — the change is applied instantly — but it's only remembered on your current device. It won't change what your teammates see, and it won't be applied if you sign in on a different device or browser.
It applies per organization
Appearance is set separately for each organization you belong to. If you switch to a different organization (or, as an agency, open a client's workspace), that organization's own saved appearance is what you'll see — not the one from the organization you just came from. This is also why, when an agency provisions a new client, the client's workspace starts on ReflexWare's default look (Cobalt, dark mode) rather than inheriting the agency's chosen theme; the client's own admin can then pick their own look from their own Settings → Appearance page.
