Storage & Drive
Upload, organize, preview and share files; Drive is the read-only view of the same library.
Storage is your workspace's file library — upload images, videos, documents, and other assets, organize them into folders, and control who can access each file. Drive is a lightweight read-only view over the same files, built for quickly finding things and for upcoming cloud sync. This guide covers uploading, organizing, sharing, the trash, your storage quota, and what Drive shows.
Who this is for
Anyone who needs to keep files in the workspace — for websites, emails, digital products, or general use. You need the storage: read permission to view files, storage: create to upload, create folders, rename, or move, and storage: delete to delete or restore.
Storage vs. Drive

Where to find them
Select Storage or Drive in the left menu.
The Storage page
The header shows:
- A storage usage bar (used / plan limit) when your plan has a storage cap. It turns yellow above 70% and red above 90%.
- Trash (with a count badge), New Folder, and Upload buttons.
- A breadcrumb starting at My Files, a search box, and a grid / list view toggle.
Files and folders are listed in the current folder. Open a folder by selecting it; use the breadcrumb to go back up. Search looks across all folders, not just the one you're in, and shows matching folders and files.
Uploading files
- Select Upload (or Upload Files in an empty folder).
- Drag files onto the drop zone or select it to browse. You can add several at once; images and videos show a preview in the queue.
- Choose File Visibility:

- Select Upload. Each file shows a progress bar and then a check mark or an error.
Files upload straight to storage from your browser. Size limits depend on the type: videos up to 2 GB, archives up to 200 MB, audio up to 100 MB, images and documents up to 50 MB, anything else up to 100 MB. Uploaded videos are processed for streaming playback and images get a thumbnail for the grid — both happen in the background.
If your plan's storage limit is reached, the Upload button opens an upgrade prompt instead. If the workspace's storage isn't configured yet, the dialog says so and uploads won't work until an administrator sets it up.
Folders
Select New Folder, enter a name (up to 100 characters), pick a colour, and select Create Folder. Folders can be nested as deep as you like.
Each folder's menu offers:

| Edit Folder | Change the name and colour, including a custom hex colour. |
| Move to... | Pick a new parent folder from the folder tree. A folder can't be moved into itself or one of its subfolders. |
| Delete | Moves the folder — and everything inside it — to the trash. |
Working with files
Select a file to open the preview. Images, videos, audio, and PDFs display inline; other types show the file's details with a Download button. The preview header shows the size, extension, and a Private label where relevant.
Each file's menu offers:

| Copy Link | Copies the file's link. |
| Rename | Edit the display name inline (or double-click the name). |
| Move to... | Choose a destination folder (or My Files for the root). |
| Make Private / Make Public | Switch the file's visibility. Making a public file private moves it to a new location, so any link you shared earlier stops working. |
| Delete | Moves the file to the trash. |
Trash
Deleted files and folders go to the Trash rather than disappearing. Select Trash in the header to open it and Back to Files to return.
- Items stay in the trash for 30 days, then are deleted permanently. Each item shows how many days are left; items with 3 days or fewer are highlighted.
- Restore (the arrow icon) puts an item back where it was. Restoring a folder restores everything inside it.
- Delete Forever removes an item immediately after a confirmation — this can't be undone.
- Tick several items to Restore or Delete Forever in bulk, or select Empty Trash to permanently delete everything.
Permanently deleting frees up your storage quota straight away; items sitting in the trash still count.
If you open a link to a folder that's in the trash, the page tells you and offers Go to My Files or View Trash.
Drive
The Drive page shows the same files in a simpler, read-only layout:
- Badges at the top with your total files, folders, and size.
- A Cloud sync panel showing whether Google Drive and OneDrive sync are configured for your workspace. Sync isn't available yet — these badges show readiness only.
- A Search files box.
- A list of folders (select one to open it, then Back to root) and files with their sizes.
There's no upload or editing here. If Drive is empty, use Open Storage to add files.

Troubleshooting
- Upload button opens an upgrade prompt. Your plan's storage limit is reached. Empty the trash to free space, or upgrade under Billing.
- "Storage not configured" in the upload dialog. The workspace's storage backend hasn't been set up — contact whoever manages your deployment.
- A shared link stopped working. The file was probably made private. Make it public again to get a new link.
- A video shows no preview or won't play. Video processing runs after upload and can take a while; check back shortly.
